To begin, you need to set up your bar’s inventory list. This means that you can find and add bottles from our liquid database, before you start to create your virtual bar.

  • Select “Settings”
  • Select your bar’s “Inventory List” 
  • Click “Add Bottle” at the bottom
  • Use “Search” to find your bottles in our liquid database
  • Key in the bottle details and click “Done”
  • Once you are done, you can click “Edit” to rearrange or delete bottles

What if you can’t find the bottle that you need?

  • Select “Settings”
  • Select your bar’s “Inventory List”
  • Click “Add Bottle” at the bottom
  • Start typing your bottle name into the “Search” bar at the top
  • If you can’t find what you’re looking for, tap “Add Custom Bottle”
  • Take a picture of the bottle & adjust the liquid indicators​ 
  • Key in the bottle details and click “Done”

Visualise how and where you want to store your bottles in BarOS. This should be similar to how you organise your physical bar, so you can easily eyeball your bottles when you do stock-taking with BarOS.

  • Select “Bars”
  • Select “Inventory”​
  • Click “+” at the bottom left
  • Name the Bar Area (e.g. Main Bar, Store, Restaurant Bar)
  • Click “Done”
  • ​To create specific sections, select the chosen Bar Area
  • Click “+” at the bottom left
  • Name the Bar Section (e.g. Top Row, Middle Row, Bottom Row)
  • Click “Done”

If you cannot find your preferred bottle in your inventory, we will prompt you to “Click here to add new bottle into the bar inventory list”, where you can search our liquid database. If you are still unable to find your preferred bottle, please refer to Step 2 on how to add custom bottles.

After creating your virtual bar, you can use BarOS to count your inventory in minutes!

  • Select “Bars”
  • Select “Inventory”
  • Select the Bar Area & Bar Section that you want to do stock-take for
  • Select your bottle and you can…
    • a) adjust the volume left in your bottles with the liquid level indicator, and 
    • b) adjust the quantity by tapping on the “+”/”-” buttons, or tap on the number to input the quantity manually​
  • Swipe left or right to do your stock take​
  • Tap “Done” to save your changes

Should you need to transfer bottles from one Bar Area or Bar Section to another, you can do so using BarOS and all changes will be recorded in your Generated Report (Step 7).

  • Select “Bars”
  • Select “Inventory”
  • Select the Bar Area & Bar Section that you would like to transfer bottles in/out of
  • Choose the bottle that you would like to transfer
  • Click on “Transfer” at the top right
  • Key in how many bottles are being transferred in/out (tap on “+” for in, “-” for out) and also the location of where the bottles are being transferred in/out to
  • Tap on “Save”​ and “Done” to save your changes

You can also key in your purchases into BarOS to track your costs.

  • Select “Invoices”
  • Select “Add Invoice” at the bottom left
  • Key in the invoice details (if the supplier name cannot be found in the list, you may add a custom supplier)
  • Select “Add Bottle” at the bottom to add your purchased stock
  • Key in the price and quantity of the bottle
  • Once you are done adding your purchases, tap on “Done”

After counting your inventory and keying in your purchases, you can generate a report (in the form of an Excel file), which will be sent to your email. Do ensure that your email is in the system before you generate a report.

  • Select “Settings”
  • Select “Register Email for Report”
  • Tap on “Add Email” at the bottom to register the necessary emails to which the reports will be sent
  • Tap on “Save” and head back to the home page
  • Select “Bars”
  • Select “Generate Report”
  • Choose the correct date for the closing report and click “Generate”
  • Select “Settings”
  • Select your bar’s “Inventory List”
  • Scroll through your inventory list or use the search bar to look for the bottle(s) in your inventory
  • Note that you can only edit the number of shots, par level, distributor, and wholesale price
  • When you are done with your edits, select “Done” to save
  • Select “Bars”
  • Select “Inventory”
  • Select “Edit” at the bottom of the screen
  • You can tap onto the name of a Bar Area or Bar Section to edit it
  • You can rearrange Bar Areas or Bar Sections by tapping, holding, and dragging the “move” icon on the right
  • You can delete a Bar Area or Bar Section by tapping the “-” sign on the left
  • When you are done with your edits, select “Done” to save​​
  • Select “Invoices”
  • Note that if you have generated a Report, your invoices will be processed and moved to the “Old/Processed” tab
  • Select the invoice that you want to edit, then tap on the “Edit” or “Add Bottle” button at the bottom right
  • You may edit all details of the invoice, including adding or deleting bottles
  • When you are done with your edits, select “Done” to save​
